How to implement an AI agent in a company

Implementing an AI agent should not begin with an attempt to automate the entire company at once. First, choose one clearly defined process that repeats regularly, takes up employees’ time, and has a measurable outcome. This might be handling initial enquiries, creating CRM requests, preparing documents, scheduling meetings, or monitoring overdue tasks.

Once the process has been selected, describe how it currently works: where the data comes from, who makes decisions, which systems are used, and at which stages employee confirmation is required. Only then can you define the AI agent’s actions, access permissions, and the situations in which it must stop and hand the task over to a person.

The first launch is best conducted in test mode. The AI agent can analyse enquiries and suggest actions without performing them independently. The team compares its decisions with employees’ actual work, identifies errors, and adjusts the rules. The agent is then gradually permitted to perform safe operations, while human confirmation remains mandatory for payments, contracts, data deletion, and other important actions.

Implementation results should be evaluated using specific metrics: enquiry processing speed, number of errors, employee time saved, completed tasks, and client satisfaction. If the pilot proves valuable, the AI agent can be connected to additional processes without disrupting the company’s current operations.
